Events & Marketing Coordinator
Position: Full-Time
Position Summary:
The Events & Marketing Coordinator handles Phoenix Books events and marketing activities for both Essex and Burlington, VT locations. This position manages events from approval through to completion and acts as the main point of contact for everything related to event planning and on-site production. A successful candidate in this role will be personable, professional, creative, great at communication, highly organized, and able to manage the logistics of multiple events simultaneously. They are supremely comfortable, and even thrive, with a crowd and can create a warm and inviting experience for authors and guests in a professional manner.
Position Responsibilities:
- Present and host Phoenix Books events on- and offsite.
- Coordinate event marketing, including in-store, all our digital platforms, and in the media through press releases.
- Coordinate internal communications, staffing, and logistics for all events, including day of event and post event.
- Responsible for organizing event details such as decor, catering, entertainment, transportation, special guests, equipment, promotional material, etc. within budgetary constraints.
- Collaborate with the management team on effective marketing and communications for each event.
- Build brand awareness by crafting compelling visual and written content for the store’s newsletters and digital platforms.
- Manage brand identity, ensure that all marketing materials and events are aligned with the store’s style guidelines and business objectives.
- Identify and initiate potential relationships for cross-promotion opportunities with community organizations and businesses.
- Represent Phoenix Books at book industry events in New England and beyond.
- Other duties as assigned by ownership, general manager, and marketing manager.
Position Requirements:
- Ability to work evenings and weekends, as needed.
- Ability to travel among and between stores for events, as events dictate.
- Demonstrated interest in special event planning and execution.
- Physical requirements – ability to exert ~50 pounds of force occasionally, 20 pounds of force frequently, and lift, carry, push, pull or otherwise move objects.
- Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
- Must be able to multitask and prioritize responsibilities to meet deadlines.
- Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary.
- Be attentive, friendly, helpful, and courteous to all guests, managers, and fellow employees.
- Must have demonstrated ability to create engaging visuals and write compelling captions for newsletter and social media platforms.

Schedule:
Expected to host as many store events as possible with variable hours of the day and evening.
This position is based out of our home office in Essex, Vermont while most events are hosted out of our flagship location in Burlington, Vermont.
